How digital ticketing platform HomeTown has transformed school districts’ athletics financing and programing with transparency, convenience, and data

In the world of K-12 athletics, the game extends far past what happens on the field. Behind every cheering crowd and Friday night lights exists a complex ecosystem that school districts across the nation have to navigate daily to keep athletic programs charging ahead. Yet few in the general public know how much goes into, for example, making the football season in a public school district happen, especially as public funding resources are increasingly whittled down. 

Northside Independent School District (NISD) is one of the largest school districts in the state of Texas, with over 94,000 enrolled students and 12,900 administrative staff. Before partnering with HomeTown, a leading online digital ticketing platform for K-12 and collegiate institutions, the 13 high schools and 21 middle schools that comprise NISD relied on a manual paper ticket system for game day sales. The manual process not only consumed valuable time and resources but also left ample room for accounting errors, threatening an already strained budget. These discrepancies created a domino effect of problems for event coordinators and athletic directors, who found themselves grappling with financial inconsistencies rather than focusing on enhancing the athletic experience for students and spectators alike.

At its core, HomeTown offers a seamless system that empowers educational institutions to efficiently manage events, implement online reserved seating, and streamline gate admissions. But its value proposition goes beyond streamlining ticketing and revenue management; HomeTown also provides a host of pre-event solutions. 

In addition to customer service to support operations before an event begins, HomeTown has created HomeTown Social Media, an automated social media marketing tool designed to make it quick and easy for schools to leverage social media to drive attendance to events and build loyalty in their local communities. 

The platform improves security and offers data insights, helping administrators easily monitor attendance and revenue in real time. With the option to purchase tickets directly from school websites or via a mobile app, HomeTown simplifies the ticketing process by reducing the need for paper tickets and cash transactions, streamlining operations and minimizing potential errors.

When the COVID-19 pandemic accelerated the need for schools to transition from paper ticketing and in-person event attendance management, HomeTown was positioned to immediately serve those needs. The company started as a digital-first platform, giving a significant competitive edge in a landscape occupied by startups that had to build digital solutions from scratch to meet changing customer needs.

While many schools continue to rely on manual paper ticketing systems, Jay Govan, Assistant Athletic Director at Northside ISD, recalls how their district’s shift to HomeTown created a smooth-sailing process they’d never believed possible. 

“We didn’t see paper ticketing as a challenge at the time because we always did it that way,” Govan said. “But now, knowing what we know, we couldn’t do without HomeTown. It’s been such a benefit to us and our district as a whole.” 

Schools previously relied solely on time-consuming and labor-intensive manual processes like hand-managed reserved seating, colored paper tickets for general admission, and one-to-one ticket-stub collection aided by trash bags, that would later be emptied out on a surface for auditing. Turnstiles used for counting attendance were often unreliable, and back-up plans were hard to build. 

“Our software platform addresses the pain points of traditional ticketing methods, offering schools a digital solution that removes the middle-man, enhances security, and provides real-time data insights,” said Nick Mirisis, CEO of HomeTown.

The shift to digital ticketing for NISD has not only streamlined the pre- and post-game collection and manual audit processes for administrators, but also enhanced attendees’ experience. 

“It’s been a great benefit for attendees,” Govan says. “They don’t need to show up days before games anymore and wait in lines. It’s just easy.” 

He notes that many people are now accustomed to managing payment and ticket purchases online, making this a natural and intuitive transition for end-users. The convenience factor has removed several pain points for attendees, making it easier for them to choose to attend a sporting event in their community because they know they’ll be able to enjoy the experience without stress around cash payments, picking up paper tickets, and other aspects that might have dissuaded attendance. 

Beyond convenience, HomeTown also provides actionable insights, such as real-time data on attendee retention and satisfaction, ultimately allowing athletic administrators to better understand patterns and preferences and plan accordingly. This information was not previously possible with manual ticket sales and has allowed school administrators to tailor their offerings to truly satisfy the interests of their communities. 

Govan vividly recalls the impact of complications associated with cash handling at paper-ticketed football games. After ticket sales concluded, sellers on both home and visitor sides would count their money, accompanied by a police officer for security. Discrepancies were common and often significant. 

Paper ticketing presents a host of issues for schools – both practical and financial. 

“Back then, there were a lot of times I’d get a call on the radio, ‘Hey, Jay, can you come down here? We’re having some issues,’” he said. “It was stressful.”

Paper ticketing is also required for school districts to hire security guards to monitor cash payments on-site and, later, drive to a nearby bank to make deposits. In the face of declining budget pressures and rising inflation, financial accountability and economic efficiency are priorities for athletic programs. 

NISD’s adoption of HomeTown aligns with broader societal trends towards cashless transactions, reflecting NISD’s understanding of both school needs and consumer preferences. This reduction of manual labor allows NISD to reallocate their resources more effectively across various areas such as equipment, facilities, and staff compensation. 

Economic efficiency, often overlooked by attendees of athletic events, is a cornerstone of successful school programs. While the transition to digital ticketing has significantly enhanced this efficiency, the process would not have gone as smoothly without the community trust earned by both HomeTown and NISD. This trust is crucial, as it allows schools to take the reins to implement innovative solutions that have positive effects on athletic programming. 

HomeTown works with partners hands-on to develop initiatives like season passes and two-for-one deals for parents, which have helped ease concerns and strengthen the relationship between new HomeTown users and the athletics department they support. Over the years, Mirisis and his team have developed a range of solutions for making the adoption of digital ticketing at the consumer level as frictionless as it could possibly be. 

“We understand that change can be difficult,” Mirisis said. “That’s why we work closely with our partners to ensure a smooth transition and provide ongoing support.” 

In terms of maintaining revenue generation and financial clarity for school athletic programs, HomeTown has had a transformative impact on Northside ISD. The implementation of HomeTown’s platform has “brought more clarity – for our athletic department and our business department as a whole.” 

This clarity stems from HomeTown’s ability to provide real-time, accurate data on ticket sales for each event in an automated fashion. Each week, the business department at NISD knows for certain what will be deposited into their accounts, and is reassured by the transparency of the automated platform. Investing in this partnership has allowed NISD to foster interdepartmental trust between their business and athletic departments, ultimately reducing bureaucratic hurdles when the athletic department needs resources. 

“If there’s something that we do need and we request for it, well, there’s not a lot of hoops we have to jump through anymore,” Govan explains. 

As schools across the nation continue to face rising inflation rates, budget cuts, and rising event costs, the partnership between NISD and HomeTown acts as a blueprint for other school districts to follow. However, the partnership does not stop here. NISD aims to consolidate multiple payment platforms into a single system, naturally ensuring HomeTown as the primary provider. Furthermore, HomeTown and districts like NISD are exploring ways to expand its platform beyond just athletics and into events like homecomings, proms, summer camps, and fine arts events. The commitment to improving accuracy, accountability, and user experience through digital ticketing aims better resource management and enhanced services for athletic programs and school communities across the country.
